Chesapeake Soccer Club is a non-profit organization run entirely by volunteers.  Board members serve a 2-year term; Staff member assignments are not term limited.  To inquire or nominate a candidate for the next annual elections, contact CSC Administrator.

Board Member Positions and Job Descriptions

President   Club Sustainability, Forward movement

The duties of President are those customarily found in this office including: 

  • Preside over all club meetings, including those of the CSC Board of Directors;
  • Represent CSC at soccer organization meetings such as VYSA,
  • Appoint committees, Board and Staff members as allowed by CSC By-laws to complete transactions of the Club,
  • Serve as the principal spokesperson of the Club with Chesapeake City officials and local, state, and regional soccer representatives;
  • Ensure the future of the Club through special projects and committees of improvement and/or expansion, and
  • Maintain a timely pace of Club-wide annual functions via the Club calendar.

 

Vice President   Club Function, Operations, Adjutication 

The duties of the Vice President are those customarily found in this office including:

  • Attend monthly Board meetings as a voting member,
  • Represent the President in his or her absence at all CSC meetings,
  • Chair the CSC Finance Committee to ensure that budgets and allocations are congruent with club function and operations,
  • Chair the Adjutication Committee,
  • Serve on the Nominating Committee in advance of all CSC elections as a resource to the CSC by-laws,
  • Archive by-laws, procedures and policies governing CSC, and update periodically as needed;
  • Manage operations of the Board and Staff to maximize efficiency and effectiveness, and
  • Record and report vacancies and appointments in Board and Staff.

 

Administrator   Membership, Risk Management, Elections

The duties of the Administrator include managing the membership details of the Club, including:

  • Attend monthly Board meetings as a voting member
  • Serve as liaison with VYSA for insurance purposes,
  • Manage insurance, risk management and Kidsafe programs
  • Coordinate registration of member players and of CSC Coaches
  • Manage the membership database to support rostering of teams
  • Chair the Nominating Committee and manage nomination and election process at least annually
  • Assists in updating website content for membership purposes

 

Treasurer   Club Finances, Budget, Allocations and Accountability

 The duties of the Treasurer are those customarily found in this office including:

  • Attend monthly CSC Board meetings as a voting member,
  • Reconcile monthly bank statements,
  • Prepare and report CSC operating budget as specified in Article IX of CSC By-laws,
  • Prepare and report CSC monthly financial statements,
  • Receive bills and prepare checks to process all accounts payable in a timely fashion,
  • Manage investments of the Club, according to direction of Board decisions,
  • Check CSC PO Box weekly and forward mail appropriately,
  • Serve on Fundraising Committee as a resource for proper allocations, and
  • File the Club tax non-profit paperwork annually.

 

Parent Representative   Communication, Education and Participation of Parents

The duties of the Parent Representative are to represent the interests of the parents and their sons and daughters who are players in Chesapeake Soccer Club including:

  • Attend monthly CSC Board meetings as a voting member,
  • Manage communications of Club-wide activities online, in person, and by phone;
  • Promote parent education, especially pre-season and start of season, by online and on-site presence;
  • Coordinate parent participation in seasonal club tasks and/or duties,
  • Assist in coordination of parent meetings, Annual General Membership meetings, and volunteer events;
  • Solicit and report parent feedback on a regular basis to Board and Staff,
  • Serve as liaison on behalf of the Board to the parents.

 

Fields and Facilities Manager   Safety and Playability of fields, Maintenance of Facilities and Equipment

 The duties of the Fields and Facilities Manager are to manage fields utilized by CSC to ensure safety and use, to include:

  • Attend monthly CSC Board meetings as a voting member
  • Ensure all field and game equipment is operational and safe prior to, and throughout each season
  • Manage inventory and maintain adequate supplies of all field and game equipment within authorized budget;
  • Supervise the turf care and maintenance on a regular basis,
  • Oversee maintenance and repairs of Shed, and cleanliness of restroom facilities and trash receptacles
  • Determine playability of pitches as needed according to weather, and report field status updates to appropriate Staff members for information dispersement purposes

 

Recreational Divisions Chair    League Representation, In-house Management of Recreational Divisions Operations

The duties of the Recreational Divisions Chair will include:

  • Attend monthly CSC Board meetings as a voting member
  • Coordinate placement of teams in appropriate recreational leagues
  • Serve as liaison to recreational leagues for CSC Board and teams
  • Supervise participation of teams and coaches in leagues’ games and events
  • Assist division representatives/coordinators and coaches as needed,
  • Support coaches in coaching philosophies, team and player development, and morale with regular on-site presence. 

 

Advanced Divisions Chair    League Representation, In-house Management of Advanced Divisions Operations

The duties of the Advanced Divisions Chair will include:

  • Attend monthly CSC Board meetings as a voting member
  • Supervise player evaluations and placement on teams through tryouts
  • Coordinate placement of teams in appropriate advanced (TASL) and travel (VSL) leagues
  • Serve as liaison to advanced and travel leagues for CSC Board and teams
  • Supervise participation of teams and coaches in leagues’ games and events
  • Assist division representatives/coordinators and coaches as needed,
  • Support coaches in coaching philosophies, team and player development, and morale with regular on-site presence.

 

Club Development Chair    Project Execution, Financial Support, Public Relations

The duties of the Club Development Chair will include:

  • Attend monthly CSC Board meetings as a voting member,
  • Coordinate marketing programs online and on-site for season and special Club events,
  • Manage fundraising efforts for additional Club needs and/or initiatives,
  • Supervise enrichment and player development programs such as camps and technical training,
  • Provide regular and updated resources for coaching education and licensing, and
  • Oversee execution of tournaments and other Club-wide events and projects.

Equipment Manager

The duties of the Equipment Manager cover all issues related to equipment provided by the club in advance of fall and spring season for players and coaches including:

  • Manage process for players to order uniforms
  • Order Staff shirts from supplier to ensure they arrive prior to the start of the season,
  • Inventory coach equipment, such as coach shirts, soccer balls and bags, practice jerseys, whistles, cones prior to and following each season
  • Order replacement equipment for coaches within authorized budget.
  • Coordinate with Field manager to Inventory and order field equipment such as nets, goals, first aid equipment, corner flags, etc.
Registrar

The duties of the Registrar cover all areas of player registration for all player divisions of CSC including:

  • Ensure registration forms capture information needed to efficiently and effectively manage players and teams in compliance with CSC, VYSA, and USSF rules and regulations,
  • Ensure forms are available to players and parents in time to meet registration deadlines,
  • Ensure Medical Release forms capture the information necessary to manage risk and are available to parents and coaches prior to the start of each season,
  • Provide all required data to VYSA and TASL in a timely fashion,
  • Prepare and publish player and team information seasonally so the Board of Directors and CSC members understand registration trends, and
  • Coordinate all registration information closely with the Club Treasurer.
Technical Trainer

The duties of the Technical Trainer cover CSC’s micro, recreational, and advanced divisions and include:

  • Secure licensed instructors to provide training opportunities for all CSC coaches at least one time each season,
  • Encourage coaches to attend coaching clinics hosted by CSC and other soccer organizations,
  • Publicize that CSC reimburses coaches who successfully complete USSF clinics and coach within the Club for two seasons following completion of the clinic,
  • Observe each coach at least one time every two years and provide him/her with a written summary of observations,
  • Provide opportunity for players to attend at least one clinic each year,
  • Co-chair the adjudication committee with the Administrator to resolve issues as specified in Article VII of CSC By-laws, and
  • Publicize, at least annually, the number of USSF licensed coaches.
Volunteer Coordinator

The duties of the Volunteer Coordinator cover all issues related to the recruitment and retention of volunteers necessary for the effective and efficient operation of the Club including,

  • Design of process that ensures the Club has enough volunteers to effectively discharge its responsibilities to players and parents each season,
  • Recruit volunteers to staff all CSC-related activities 
  • Publicize volunteer involvement at the end of each season,
  • Ensure all volunteers are recognized at least annually for their service to CSC, and
  • Serve as a member of the CSC Nominating Committee in advance of each election of officers.
